How to use Data validation Function in Excel | 7 Steps With Picture

Data validation is used to validate data input into the Excel sheet. This is useful in order to maintain an uniform values.

Also this is useful to validate for input templates of any application or ERP data entry upload customized format. This will also ensure the reporting is uniform across organization as this will ensure, every user select only the uniform values during the data entry.


For example, there is need to maintain the status of project activities in a project plan activity report. The status values should be Not Started, Started, and Progress or complete...  let us see the following demonstration to achieve through Data validation function from Excel. :

STEP 1

1. To open an excel sheet and type as follows:
    
Go to Status column at F6 Cell

































2. Go to Menu Data -> Data Validation (under Data Tools Group Tab) 































3. Select Setting Tab and click the Allow menu Drop down Button





























4. Select List 






























5. Type the required values to appear in the drop down list:

6.Go to Input message to type the heading and input message to the Operator:

































7. Go to Error Alert Tab, to setup what  Error Message should appear when the user types  wrong value(in-stead of select from the List)..
